Privacy Policy
RxAuto runs inside your pharmacy. This page explains exactly what leaves your building and what never does.
The short version
What we receive
- Account information — the pharmacy name, contact email, and state you give us when requesting a trial or subscribing.
- License and session data — your license key, workstation identifier, software version, and last-seen time, used to validate licensing and to see whether the software is running correctly.
- Operational counts — how many prescriptions were entered per day, how many were held, and daily usage against your plan.
- A per-prescription accuracy record — for each prescription entered: your pharmacy's own internal patient number and prescriber number (not names), the prescription number, the fill date and time, the drug, the quantity, days supply, refills, price basis, the directions, and which of those fields your pharmacist changed on review. This is what lets us find and fix systematic errors.
We are direct about this: that per-prescription record is protected health information. It does not contain names or dates of birth, but it does contain identifiers your pharmacy can use to trace the patient, so we do not describe it as de-identified and we do not treat it casually. It is covered by our Business Associate Agreement.
What we never receive
- Patient names.
- Patient dates of birth.
- Addresses, phone numbers, or contact details of patients.
- Insurance member identifiers or claim submissions.
- A copy of your pharmacy database.
Directions text is passed through redaction on your workstation and again on our servers, targeting names and dates of birth. Redaction is a safety net, not a guarantee: directions sometimes carry clinical detail such as an indication ("for arthritis"), and we do not strip that. Treat the directions we hold as clinical information about a patient, because that is what it is.
Optional AI assistance
Some pharmacies enable an optional feature in which unusual prescription directions are sent to a large language model to propose a translation into your store's house style. This feature is off unless you turn it on. When it is on, only redacted directions text and drug information are sent — never patient identifiers — and the result is always placed in the held review queue for your pharmacist. Model processing occurs under a Business Associate Agreement with our cloud provider. You can disable this at any time and RxAuto continues to work without it.
How we use what we receive
- To operate and support your installation, including diagnosing problems.
- To validate licensing and enforce plan limits.
- To measure and improve accuracy — the corrections your pharmacist makes are what teach your store’s installation and inform our engineering.
- To communicate with you about your account, updates, and support.
We do not sell your data. We do not use your pharmacy's data to advertise to you or to anyone else, and we do not share it with other pharmacies.
Where it is stored, and for how long
Telemetry is stored on managed cloud infrastructure in the United States, encrypted in transit and at rest. Account records are retained for as long as you are a customer and for a reasonable period afterwards for legal and accounting purposes. Accuracy telemetry is retained while it is useful for improving the product; you may request deletion of your pharmacy's telemetry at any time.
Subprocessors
We use a small number of vendors to run the service: cloud hosting and database providers, a licensing service, and an email provider. Where those vendors could handle protected health information, we maintain appropriate agreements with them. A current list is available on request.
Your choices
- You can turn off optional AI assistance in the software at any time.
- You can request a copy or deletion of your pharmacy’s telemetry by emailing support@rxauto.ai.
- You can stop all transmission by uninstalling the software; licensing validation ends with it.
- You can unsubscribe from our emails using the link in any message, or by replying to ask.
Children
RxAuto is sold to licensed pharmacies and is not directed to children. We do not knowingly collect information directly from patients of any age.
Changes
If we change what the software transmits, we will update this page and notify account holders by email before the change takes effect.
